Common information
The Administrative Assistant position will provide overall administrative and logistical support to the Bishkek office of the Okuu Keremet! project in the Kyrgyz Republic Project. The Administrative Assistant reports to the Finance inistration Director based in Bishkek.

Judgment of an acceptable equivalent combination, on an individual basis, is the responsibility of Management
Bachelors Degree and 1 year of experience or equivalent combination of education and experience

Skills and abilities required to perform the essential job duties of this job are listed below.
Excellent knowledge of MS Word, Outlook, PowerPoint, Excel
Fluent in English, Russian, and Kyrgyz
Ability to multi-task
Ability to work well with others
Ability to listen and communicate well both verbally and in writing
Ability to work independently
Attention to detail and accuracy
Polite and professional demeanor
Experience working on a USAID-funded or other donor-funded projects is preferable
Duties
Essential Duties :
Manage office tasks, such as filing, generating reports and presentations, setting up for meetings, and ordering supplies, coordinate transportation schedule;
Organize, schedule and support the making of business appointments;
Make travel arrangements, such as booking flights, cars, and making hotel reservations for project staff;
Process  visa forms and obtaining visas from foreign embassies and the MFA of the KR;
Provide registration of the international staff and visitors;
Receive telephone calls and visitors, maintain polite and professional communication;
Coordinate travel for project and activities that may involve courier services, accredited travel agencies, car rental companies, hotels and other suppliers, and request for travel advances, in accordance with Finance and Administration (Folicies and procedures;
Maintain inventory of the office equipment and materials, schedule repairs and routine maintenance of all project equipment;
Assist in logistical arrangements for meetings and workshops conducted in Bishkek i.e., preparation of training materials, request for workshop supplies, arrangement of travel and lodging accommodation of participants, request for cash advance, as applicable and necessary;
Provide support to the project in producing letters and other correspondence, preparing basic tables and graphics, as needed, and in the reproduction and assembling of reports;
Assist in the collection/collation of data or information needed in the preparation of reports, as necessary, including collection and encoding of Attendance Sheets for cost share reporting;
Establish and maintain an efficient filing system of project documents specific to the project according to the established filing system of the Project;
Coordinate the timely processing and payment of all staff travel claims, vendor and supplier payments and other transactions with Finance;
Maintain registration of priority incoming and outgoing communications; handle shipping/ mailing/ delivery of outgoing communications with the use of couriers;
Provide general assistance and logistic support for program staff
Perform other tasks as may be assigned by the supervisor.
